When Finding guests
- Ask Appearance Fee
- What types of panels do they do?
- Do they wander the con? (This is more of an experience thing - guests who wander the con & actively participate are great!) DON'T ACTUALLY ASK THIS
- While going through applicable guests, don't get too hung up on the theme. While it's nice if they have something that matches, it's not important.
Pre-Con (after contracts)
- Work with guests to figure out A/V and Room setup needs
- Ask the guests if they would like to donate to the Charity Auction
- Arrange Flights
- Ask the guest their company preferences, and if they have a rewards number they want to use.
- Using the dates from the signed contract find at least one flight for the guest, screenshot it and email them to have them verify the times are going to work for them.
- Once the guest verifies then work with the treasurer (or whomever can use the debit/credit card for your convention) to get that flight booked
- Where do they want their hotel room
- If they don't have a preference then the default is away from the action.
- For example, in the (currently) Ramada Hotel on 13th ave where they have 3 floors, we'd put them on the 3rd floor by default.
- This will be different in each hotel of course, but the concern is that the guests can sleep, and also not get followed to their rooms by any creepers.
- If they don't have a preference then the default is away from the action.
- Get liaison’s for the convention for each guest (or 1 per guest group)
- Pick them up from the airport or greet them if they drive here
- Or arrange for someone to do this.
- Write up info sheets for the guests, including their flight schedule, panel schedule, and your and the handler’s telephone numbers.
During Con
- Check in with all the guests, be available to help them, bring them places or stuff, etc.
- Make sure your Liaisons are ok and not dying.
After Con
- Get the guests to their flights, or see them off.
- If Paul St. Peter is a guest, take him (or have the liaison take him) to get Lefse before his flight.
- Help cleanup if there is time.
